Volunteer Policies and Procedures for
Fox Valley Habitat for Humanity

In order to work well with the staff and to present Fox Valley Habitat for Humanity in the best possible light, we ask that you adhere to the following policies and procedures while you are on duty as a volunteer. The ideal volunteer is self-motivated, dependable, a team player, and reliable. Volunteers must agree to represent FVHFH, and to perform in a professional manner whenever doing so.

There are 3 mandatory steps to volunteer: Register at volunteerup.com, Sign and turn in a Liability Waiver, and complete the Online Safety Training Course.

Volunteers ages 13-15 are only allowed on build sites to do landscaping, painting, and clean up and are not allowed on a build site when building is in progress, and also require parental/guardian supervision. Volunteers between the ages of 16-18 are allowed to be on build site but are not allowed to use power tools. Work on excavation or demolition, or work on rooftops is not permitted. Parent/guardian supervision is also required. A parent/guardian signature is needed on their waiver.

Registering & Scheduling:
All volunteers are required to register online (link through our website). Also required is a signed waiver that is available to print. (You can find this in the row of menu options under the logo as “liability waiver”.) Alternatively, it can be emailed to you to print. Volunteers will not be able to participate without being registered or without a signed waiver. All volunteers under 18 must have a parent/guardian signature on their waiver.

Volunteer hours are flexible. With the exception of holidays, our volunteers are welcome to work Tuesday through Saturday. Hours vary during the week and hours on Saturdays are 8:30am-4:00pm with a lunch break. It is the volunteers responsibility to bring a sack lunch and water. Our online calendar shows our available Saturdays. Hours during the week are by availability and need to be set up through the FVHFH office.

Please go to foxvalleyhabitat.org and click on “Volunteer” at the top. On the Volunteer page, scroll down to “Sign Up to Volunteer Click Here” at the bottom of the page. Once you are on the ‘Volunteerup’ page for Habitat:

  • Fill in your registration information. After clicking on “register” please click on “continue” and choose “Fox Valley HFH- Aurora” in the drop-down menu. Then start entering your information.
  • It is crucial to have an email address and a cell phone number listed in order for us to communicate with you.
  • Mark which church you are participating with.
  • After registering, at the top of the page it will say registration complete and click on button for “sign up”.
  • Thank you message appears; click on “I have read this message”. You will be taken to our calendar.
  • Find your work date on the right side of the calendar under “Faith Build 2017”.
  • Click on your group/church name.
  • Next page, click on “select shift”. Please put the group name in space provided. This page also shows how many volunteers are already signed up for that day. We only sign up 15 people per shift; please sign up early.
  • Next page shows your sign up confirmation that you can print or have emailed to you. It will also show information pertaining to your work day.
  • You will receive an email a few days before build date to confirm and let you know where you will be working and what you will be working on.
  • After registering, please be sure to print the liability waiver (found at top of calendar). It is in .pdf format

Once you have agreed to be available for a particular shift, we count on you to be there. Online Safety Training
All volunteers will also need to take an Online Safety Training Course at: http://hfhaffiliateinsurance.com/ This is done for insurance purposes through Lockton Affinity (Affiliate Insurance Program for HFH). You will also find the link for this course on our website foxvalleyhabitat.org under the “Volunteer” page. The link is at the bottom.

  • Click on “volunteers” (in middle of page).
  • Then click on “begin now” in the blue Online Safety Courses box.
  • Please read the entire next page and copy the access code to paste on next page, and then click on “take training course now”.
  • Enter (paste) the access code and click on “submit”.
  • Click on “Volunteering on a Habitat for Humanity Job Site” on the right column under “Recommended Courses”. You will need audio for this.
  • There is a short quiz at end of presentation for you to take.
  • We will receive an email after you have passed the course.

on Build Day
You must arrive 15 minutes before your shift time to sign-in and turn in your waivers. Please let the person in charge of sign-in know if you are working a half day or full day.

Dress protocol:
We require that all volunteers wear long pants and closed-toe shoes with good traction. This is for your protection. Volunteers with inappropriate attire (sandals, tank tops, etc.) will be prohibited from volunteering that shift. Please remember to wear clothing that can get dirty. You should also bring your own work gloves and safety glasses. All other tools will be on site.

Workplace safety:
Safety is important to all of us. Volunteers should conduct themselves in a way that promotes safety of themselves and others. Nobody should be put into a situation that makes them fearful or uncomfortable. If you feel uncomfortable, please notify a staff member immediately.

Volunteer injury:
Any personal injury that occurs while volunteering for FVHFH should immediately be reported to a staff member. Volunteers are not covered under the organizations insurance for injury to themselves.

Volunteer feedback:
Fox Valley Habitat for Humanity encourages volunteers to make suggestions, voice concerns, and give ideas about how the affiliate fulfills its mission to the community. We are always looking for new ideas, so if you have any ideas to share, please speak with the staff.
